Privacy Policy

Compass Cabinet ("Compass Cabinet," "we," "us") provides compliance and case-management software to licensed youth-care and child-placing agencies. This Privacy Policy explains what information we collect, how we use it, and the choices you have. It applies to our website and our application.

Who our users are

Our customers are agencies. The people who use our software are those agencies' staff. When an agency uses Compass Cabinet to manage records about the youth in their care, the agency controls that data and we process it on the agency's behalf under our agreement with them.

Information we collect

How we use information

SMS / text messaging

Consent. Staff members opt in to text messages inside the Compass Cabinet application by adding their mobile number to their account and enabling text alerts. That action is their consent to receive account and operational SMS from Compass Cabinet. We do not obtain mobile numbers from any third party.

Message types & frequency. Messages are transactional and account-related, for example work-schedule notifications, time-off request decisions, account or billing status, and security alerts. Frequency varies by activity and is low.

Opt-out & help. You can opt out at any time by replying STOP, or by turning off text alerts in the app. Reply HELP for help. Message and data rates may apply.

No sharing of mobile opt-in data. Mobile opt-in and consent information, and the phone numbers collected for text messaging, are never shared with or sold to third parties or affiliates, and are not used for marketing.

How we share information

We do not sell personal information. We share it only with service providers who help us operate the platform (for example, cloud hosting, and email/SMS delivery), under contracts that require them to protect it; when required by law; or at the direction of the agency that controls the data. As stated above, mobile opt-in and consent data is not shared with anyone for their own use.

Health information (HIPAA)

Where an agency uses Compass Cabinet to process protected health information, we act as a business associate and handle that information under a Business Associate Agreement and applicable law. Our hosting infrastructure operates under a signed Business Associate Agreement.

Security

We use administrative, technical, and physical safeguards, including encryption in transit and at rest, access controls, and audit logging. No method of transmission or storage is completely secure, but we work to protect your information.

Data retention

We retain information for as long as an account is active and as needed to provide the service and meet legal obligations. Agency data is handled per our customer agreement, including defined retention and secure deletion after an account ends.

Your choices

You may access or correct your account information within the app, opt out of text messages as described above, and contact us with privacy requests. Requests about agency-controlled records are directed to the agency.

Changes

We may update this policy and will revise the effective date above when we do.
